Your first week as a ManageBac+ administrator for the IB Middle Years Programme: set up the school in order (settings, programme, people, classes, access), then send welcome emails. The full reference is at the end.
This guide covers your first week as the IB Middle Years Programme coordinator or administrator: the school setup every administrator does, plus the MYP settings, year groups and core. Use the full reference at the end when you need more.
- Get your bearingsSteps 1 and 2: Settings and your school settings.
- Programme, people and classesSteps 3 to 5: MYP settings, users and classes.
- Access and launchSteps 6 and 7: permissions, attendance and welcome emails.
The same steps are on the Start here page, where you can tick each one off as you go.
1. Get your bearings
Step 1: Sign in and find Settings
Sign in from the ManageBac+ login page. As an administrator you land on My Workspace; school-wide setup is under Settings (the gear icon at the top right), and reports and analytics are under Insights in the left menu.
Step 2: Check your school settings
Go to Settings > School Settings to set the school name, logo, languages, academic year, year levels and terms. These come first because classes, year groups and reports depend on them.

2. Programme, people and classes
Step 3: Set up the IB Middle Years Programme
Go to Settings > IB Middle Years. Turn on your subjects first, then work through Curriculum (unit templates), Assessment and the MYP worksheets in the same menu.

Step 4: Add people
Go to Settings > School Directory. Use Add User for one person or Bulk Import Users for students, parents and teachers from a spreadsheet. If your school uses a student information system or OpenApply, set up that sync instead.
Step 5: Set up classes
Create classes and add students and teachers in bulk from Classes > Browse All Classes, or let teachers create and join their own classes if your school allows it.
- Creating and joining classes
- Assigning students and teachers to classes
- Class timetables and rotation days
3. Access and launch
Step 6: Permissions and attendance
Under Settings > Security & Permissions, choose what teachers, students and parents can do. If you take attendance, import timetables first, then set up attendance under Settings > Attendance & Calendar.
Step 7: Send welcome emails and launch
When everything is ready, select Send Welcome E-mails in the School Directory Details panel. Staff, students and parents set their own password from the email. Then introduce ManageBac+ to your community.
Your MYP year groups and core
Students' Community Engagement and projects are in their year group. Assign advisors before students start.
