Everything a new coordinator should check in the first few weeks
Use this checklist when you take over as a ManageBac+ coordinator or administrator. It points you to the settings that shape the rest of the year, so you can check them before teachers and families rely on them.
Before term starts
- Check your academic termsGo to Settings > Academic Terms and confirm the term dates for each programme. Report cards, attendance and gradebooks all use these dates.
- Review users and permissionsCheck that teachers, students and parents have been added and that teachers have the permissions they need. See Getting Started with ManageBac+ as an Administrator.
- Confirm assessment defaultsGo to Settings > select your programme > Assessment to review task categories and grade scales. Defaults only apply to classes created after you set them.
- Choose how term averages are calculatedGo to Settings > School Settings > Key Academic Functions. This applies to all classes except IB MYP and PYP.
- Check classes and membershipsMake sure each class has the right teachers and students before teachers start setting tasks.
In the first few weeks
- Open access to familiesDecide how parents will sign in and send welcome emails. See Establishing Login Expectations for your Parent Community.
- Plan year group deadlinesAdd key deadlines for CAS, Extended Essay, Personal Project or other core components from the year group calendar.
- Check integrationsIf your school syncs users from a student information system such as iSAMS or Veracross, confirm new students have arrived with the right details.

Add a test student and parent account so you can see exactly what families see. Test accounts are not charged.

Do I need to transition the account first?
If your school has started a new academic year, the account usually needs to be transitioned first. See Recommended Steps Before Transitioning Your Account.
Will changing default grade scales affect existing classes?
No. Default task categories and grade scales only apply to classes created after the change.
