Tracking SA Progress and Generating Reports

Learn how to monitor Service as Action (SA) progress, export summary data to Excel, and generate customised SA reports in ManageBac+.

From the IB MYP Year Group SA tab, coordinators can track student progress across the year group and generate reports at any stage of a student's SA journey.

Use the Excel export for data analysis and reporting, or generate PDF reports that can be shared with students and parents directly through ManageBac+.

Step-by-Step Navigation

Tracking SA Progress via the Year Group

  1. Navigate to IB MYP Year Group > SA.
  2. Locate the available tracking options on the right-hand side of the page.
  3. Use Export to Excel to download summary data or Generate Reports to create SA reports.
  4. On smaller screens, these options may appear at the bottom of the page.

Exporting the SA Summary to Excel

  1. Navigate to IB MYP Year Group > SA.
  2. Click Export to Excel.
  3. Open the downloaded spreadsheet to review student progress data.

The export contains three worksheets:

Summary

  • Student ID
  • SA Status
  • Student name and email
  • SA Advisor and Homeroom Advisor
  • Outcomes, evidence and meetings
  • Hours data, where enabled in year group settings

Projects

  • Student details and advisor information
  • SA project names
  • Associated experiences

Experiences by Student

  • Student and advisor details
  • Experience names and supervisors
  • Start and end dates
  • Hours data, where enabled
  • Experience status and completion date

Generating SA Reports in Bulk

  1. Navigate to IB MYP Year Group > SA > Generate Reports.
  2. Review and customise the report template.
  3. Click Save Changes to retain the template for future use.
  4. Click Generate Report to publish reports for all students in the year group.

Customising the SA Report Template

Date Period

The selected reporting period determines which experiences, interview notes and supervisor review comments are included in the report. Only records that fall within the chosen date range are included.

General Template Options

  • Start and end dates
  • Term name
  • Report name
  • Coordinator name and title
  • Parent notification settings
  • Report signature upload
  • File naming format

Template Custom Options

  • Custom Descriptions: Add descriptions for activities, programme information, legends and footers.
  • SA Fields: Choose which information appears on reports, including outcomes, reflections, hours, meeting logs and supervisor comments.
  • Completion of SA: Set completion status values such as Satisfactory, Unsatisfactory or N/A.

Progress Descriptors

Use the Progress Descriptors tab to define custom descriptors for inclusion on reports.

  1. When configuration is complete, click Generate Report.
  2. Allow up to 30 minutes for report generation.
  3. You will receive an email notification when reports are ready.

Generate and publish PDF reports.

Generated report sets can be accessed from the Existing Reports tab, where consolidated reports and ZIP files containing individual PDFs are available. Deleting a report set removes both the bulk report and associated individual reports.

Generating an Individual Student Report

  1. Navigate to IB MYP Year Group > SA.
  2. Select a student from the SA roster.
  3. Open the student's SA Worksheet.
  4. Click Generate Reports.
  5. Configure the report and generate it using the same options available for bulk reports.

Accessing Generated Reports

  1. Open the student's SA Worksheet.
  2. Navigate to the Documents section.
  3. View or delete generated reports as required.

Warnings & Important Notes

  • Only experiences, interview notes and supervisor review comments within the selected report period are included.
  • Archived experiences are excluded from reports.
  • Report generation can take up to 30 minutes.
  • Deleting a report set removes both the consolidated report and associated individual reports.
  • Hours-related fields appear only when hours tracking is enabled for the year group.

Frequently Asked Questions

Can students and parents view SA reports?

Yes. Generated reports are available from the student's SA Worksheet > Documents section and can also be accessed through the Portfolio tab within the student's SA folder.
