Configuring Community Engagement (MYP) worksheets and settings

For MYP coordinators and admins setting up Community Engagement worksheets for year groups and for the whole school.

Add Community Engagement questions

Custom questions show to students every time they create an experience, to guide their reflection.

  1. Go to Year Group, select the MYP year group and select Edit Year Group Settings. Your school may use a different label for Year Group. On a narrow screen, these details may be at the bottom of the page.

  2. In Community Engagement Questions, select Add Question and type the question.

  3. Drag the navigation arrows to reorder questions. Edit a question by typing in its text box, or tick Delete to remove it.

  4. Select Save Changes.

Questions belong to one year level, so each year level can have its own questions or none.

Let students track hours

Hours tracking is off by default, in line with current IB guidelines. You can turn it on and customise it for each year level.

  1. Go to Year Group > Edit Group Settings > Community Engagement and tick Track activity hours for this group.

  2. If you want, tick Show hours chart on student worksheets and set how many hours are required for each type.

  3. Tick Show Community Engagement Aims and Goals to let students enter overall aims and goals on their worksheet. Use Optional Question to give students an extra question when they add a new experience.

  4. Select Save Changes at the bottom of the page.

Send automatic reminder emails

Automatic reminders email students who have not logged in or updated their Community Engagement worksheet in the previous 14 days.

  1. Go to IB MYP Year Group > Community Engagement > Manage E-mail Reminders.

  2. Turn reminders on or off. Select the Edit pencil to change the email subject and message.

  3. Select Add Reminder in the sidebar to add more reminder emails.

Turn reminders off when school is not in session so students do not get unnecessary emails.

Customise supervisor reviews

  1. Go to Settings > School Settings > CAS & Service Action. Any admin can edit the text students and experience supervisors see.

  2. Use the format buttons at the top of each text box for options such as headers or right to left text.

  3. At the bottom of the page, choose whether experiences are marked complete automatically when a supervisor review is submitted. A completed experience is locked, so students can no longer work on it.

  4. Select Save Changes.

Set interview note and locking permissions

Both settings are in Settings > Security & Permissions > General. Select Save Changes after you change them.

  • Browse Interview Notes: when ticked, students can see all interview notes, past and present. When it is not ticked, students can see notes but not those marked as interviews. This applies to CAS and Community Engagement.
  • Lock Approved Activities: when ticked, students cannot edit the name, description and general details of an approved activity. They can still add reflections and evidence. Leave it unticked if students should be able to edit their experiences at any time.

Add guidance and handbooks

Go to Settings > IB Middle Years > Guides.

  1. On the Community Engagement tab, upload handbooks and customise guidance for students. You can also include an introductory video from the ManageBac+ Support team.

  2. On the Handbooks tab, upload general programme handbooks and handbooks for parents.

  3. Select Choose File under the right heading and upload the handbook from your computer. To replace one, select Update. To remove one, select the rubbish bin icon.

  4. Select Save Changes at the bottom of the page.

You can upload Word or PDF documents.

Rename advisors and supervisors

Go to Settings > School Settings > Terminology to change the Advisor and Supervisor labels. MYP Advisors are an extra advisor for your IB groups, mainly used for Community Engagement, and let you group students under particular advisors. You could call them "Tutor" or "Mentor", for example.

Turn on Community Engagement assessment

  1. Go to Settings > IB Middle Years > Assessment > Assessment Models and tick the Community Engagement assessment checkbox.

  2. Under Community Engagement Rubrics, customise the default rubric values if needed.

  3. On the Community Engagement roster, select Submit Term Community Engagement Evaluation.

  4. Advisors choose a rubric option and enter comments, with formatting options. Select Export Term Grades to download the grades to Excel.
