Approving and Reviewing Community Engagement Activities

This guide explains how Community Engagement Advisors, Community Engagement Coordinators, and supervisors can approve Community Engagement activities and manage supervisor reviews in ManageBac+.

Community Engagement activity approvals help confirm that students can proceed with their planned activities. Community Engagement Advisors and Community Engagement Coordinators can approve activities from the Community Engagement approvals area or directly from an individual student’s Community Engagement worksheet.

Supervisor reviews allow activity supervisors to comment on a student’s progress, effort, and commitment. These reviews can be requested from ManageBac+ and added directly to the student’s Community Engagement worksheet once submitted.

Overview

Community Engagement Advisors and Community Engagement Coordinators can approve Community Engagement activities in two ways:

  • From Reviews & Progress > Community Engagement > Approvals, when assigned to students as their Community Engagement Advisor.
  • From an individual student’s Community Engagement worksheet, accessed through the relevant IB year group.

Supervisor reviews can then be requested once the required activity conditions have been met.

Activity approvals

Activities requiring approval are indicated by the Needs Approval icon on the student’s Community Engagement worksheet. This icon is shown in the Legend on the right side.

Supervisor reviews

Supervisor reviews allow external or in-school supervisors to comment on a student’s participation and confirm whether the activity was completed successfully.

Review availability

The Request Supervisor Review button appears only after the activity has at least one Reflection in Reflections & Evidence and the Community Engagement Advisor has marked the activity as Approved.

Step by Step Navigation

Approve activities from Reviews & Progress

  1. Navigate to My Workspace > Reviews & Progress > Community Engagement.
  2. Open the Approvals tab.
  3. Review the listed activities that require approval.

Approve activities from a student’s Community Engagement worksheet

  1. Navigate to the relevant IB year group under the Year Groups tab.
  2. Select Community Engagement to open the student roster.
  3. Select a student marked with New Changes.

  1. On the student’s Community Engagement worksheet, review the activity status shown on the right side of each activity.
  2. Select the activity requiring approval. It will have the status To Be Determined.
  3. Choose Approved from the Activity Status dropdown.

Send a supervisor review request

  1. Open the student’s approved Community Engagement activity.
  2. Confirm that the student has added at least one Reflection in Reflections & Evidence.
  3. Select Request Supervisor Review.

Complete the review as a supervisor

  1. The supervisor receives an email from ManageBac+ with a link to the review survey.
  2. The supervisor opens the link and completes the survey about the student’s participation.
  3. The supervisor comments on the student’s progress.
  4. The supervisor ticks each outcome the student completed successfully.
  5. The supervisor confirms whether the student completed the activity successfully.
  6. The supervisor selects Submit Final Review to add the review to the student’s worksheet.

Once the review has been submitted by the supervisor, a Reviewed label will appear beside the activity name.

Review multiple students

  1. Navigate to Reviews & Progress > Community Engagement > Reviews.
  2. Review the students and activities requiring supervisor review.
  3. Use the available filters, including In Progress, Pending, Reviewed, and Incomplete.

Warnings & Important Notes

  • When an activity is marked as Approved, the student is notified by email that the activity has been approved and that they can proceed.
  • Supervisors do not need a registered ManageBac+ account to complete the linked review survey.
  • Anyone with a valid email address can receive the supervisor review notification.
  • The Request Supervisor Review button will not appear until the activity has at least one Reflection in Reflections & Evidence and has been marked as Approved.
