Quick answer

Year groups separate students by programme and grade level. Create them automatically when you import students through Settings > Import Manager > Students, or manually from Year Groups by selecting Add Year Group. Move students between year groups in Settings > School Directory > Memberships.

For school admins: create, configure, move students between, archive and find archived year groups.

"Year Group" may have a different name on your school account. It can be changed in Settings > School Settings > Terminology.

Create a year group on student import

  1. Go to Settings > Import Manager > Students.

  2. Download the CSV template and complete the required fields.

  3. Import the file. A year group is created for each value in the IB Group/Group column and named after it.

For full import steps, see Adding Students, Parents & Teachers to ManageBac+.

Create a year group manually

  1. Go to Year Groups and select Add Year Group.

  2. Complete the fields:

    • Programme: select Diploma, Middle Years and so on.
    • Grade: choose the grade of the students in the group. It is added to the group name automatically, for example IB Diploma Class of 2026 (Grade 12).
    • Graduation Year (optional): the year this cohort will graduate.
    • Name: we suggest a graduating year format, such as "IB Diploma Class of 2023" or "IGCSE Year 1".
    • Description: describe the group.
    • Enable Discussions: tick to turn on Discussions for this year group.

If your students are not in ManageBac+ yet, follow Create a year group on student import. Make sure the Group column matches the name of the existing year group.

Configure year group and worksheet settings

You must configure year group settings to enable Community Engagement (including CAS) and Project-based Learning (PBL, EE, TOK, Personal Project, Community Project).

  1. Select the year group name to open its Overview.

  2. Select the gear icon (Edit Year Group Settings) next to Quick Add.

  3. Change any of these settings:

    • Year group cover
    • Year group name (for example IB DP Class of 2023)
    • Grade
    • Graduation year
    • Description
    • Announcement bulletin
    • Diploma Plan options (DP year groups only)
  4. If you track hours for Community Engagement, tick Track activity hours for this group and choose whether to show hours charts.

  5. To add CAS or Community Engagement questions, select Add Question. Questions can appear for all outcomes or only when certain learning outcomes are selected. To delete a question, tick Delete? next to it.

Move students between year groups

A student can only belong to one year group at a time. Their year group links them to their records in ManageBac+.

Between sections of the same grade

To move a student between sections (for example Grade 12 A to Grade 12 B):

  1. Go to Year Group A > Members tab and remove the student.

  2. Go to Year Group B > Members tab and add the student.

To a different grade level or programme

Use this for a student who is repeating a year, was added to the wrong year group, or has switched programme.

  1. Go to Settings > School Directory > Memberships.

Screenshot: Settings, School Directory, Memberships with Available Students and Manage your Students
  2. To remove the student: under Year Groups, select the student's current year group. Tick the box to the left of their name or select "remove" on the right, then select Confirm Assignments.

  3. To add the student: under Year Groups, select the new year group. Under Available Students, select Without any Year Group. Tick the box to the left of their name, select the arrow in the centre of the page, then select Confirm Assignments.

You can use Memberships to add or remove students from classes and activity groups too.

To move a whole group of students as they graduate or move up a grade, see Step 8 of Transitioning to the Next Academic Year.

Archive a year group

  1. On the year group Overview page, select the gear icon (Edit Year Group Settings) next to Quick Add.

  2. Scroll down to Additional Options, tick Archive this Year Group and select Save Changes.

Screenshot: Additional Options with Archive this Year Group

Archiving a year group also archives its student members. To find it later, see Access archived year groups below.

Access archived year groups

As long as a group is archived rather than deleted, its records stay easy to find.

  1. Select Year Groups. Your school may have renamed this tab.

    Screenshot: the Year Groups page
  2. Select Show Archived Year Groups at the top of the list.

  3. Select a year group name to open it.
