Assigning Students to Advisors: Homeroom, CAS, Community Engagement, EE, TOK, Personal and Community Projects

Students can be assigned to Homeroom or Core (CAS, EE, TOK, Community Engagement, CP, PP ETC) Advisors / Supervisors in a number of different ways, or even select their own supervisor in some instances:

Assign Supervisors individually via the Worksheet

Navigate to the Year Groups > Select the Core tab  > select the student from the roster (e.g IB DP Year Group > EE > or IB MYP Year Group> Community Engagement etc).

On the right-hand side, you will see the current project / experience advisor of the student, if one has been assigned. For some worksheets, you can select the advisor from the dropdown here to update, while others you may need to click edit such as Edit Proposal for Extended Essay. Select the new advisor via the dropdown, Save Changes.

Assign Supervisors in bulk via the Members tab 

Via Members > Select the respective Supervisors tab

Note: For some year groups, you may need to click More to find the Members tab

Click CAS Advisors, Homeroom Advisors, EE Advisors, EX Advisors, TOK Advisors, Community Engagement advisors, CP Supervisors, or PP Supervisors via the Members tab.

Supervisors can be assigned to students via the corresponding tab, for example, IB DP > CAS or IB MYP > Community Engagement etc.

You can select an advisor for a student by choosing any of the existing Teachers / Advisors on the account from the drop-down menu next to the student's name.

Click the down arrow buttonto assign the same supervisor to all students in the year group. Finish by clicking Save Changes.

Note: Only users who have been imported as teachers, advisors or admins will appear in the dropdown menu.

Bulk Assign Supervisors via Import

Via a Year Group > Members tab, click Bulk Assign Students.

This can also be accessed via Year Groups > Browse all year groups > Bulk Assign Students. Depending on the width of your screen, these details may appear at the bottom of the page.

Start by downloading our CSV template, save your spreadsheet as a CSV file and Upload your CSV file. Click Next once complete.

Note: If you have any difficulty with the import, please send the CSV file via Submit a request and our data team will further investigate.

Allow Students to select their Supervisor

If students have not been assigned core supervisors, they can select their supervisor while filling in their proposals for EE, TOK, CP and PP. The student can navigate to their Year Groups > Select the relevant project > Edit. They can fill in the proposal fields, and select the Supervisor list from the dropdown, Save Changes. 

Note: Students are not able to select their Homeroom, CAS or Community Engagement advisor.
