Quick answer

Open the year group's CE tab (Community Engagement). In the Details panel, select Export to Excel for a spreadsheet, or Generate Reports to create PDF progress reports for every student.

For coordinators and advisors tracking Community Engagement and sharing progress with students and parents.

⚠️ Service Learning is now Community Engagement

ManageBac+ now uses Community Engagement in place of Service Learning (SL) for CP and other non-IB programmes. Some screenshots and labels in this guide still show the old name, and year groups set up before the change may still show Service Learning or SL. The steps are the same. See Service as Action and Service Learning are now Community Engagement.

Moving existing year groups to Community Engagement: year groups already using Service Learning keep the old setup until they are migrated. Migration means matching existing learning outcomes and hours to the new Community Engagement setup, and some of this data may not carry across, so it works best at the start of an academic year, before students add new activities. Submit a request and we will help you plan the move.

Schools can rename Community Engagement. In the screenshots the tab is called CE; you may see Service Learning or another name.

The Community Engagement roster

Open the year group and select the CE tab. Tiles at the top count students by progress indicator, and each advisor's students are listed with their engagements, learning outcomes, reflections and evidence, and notes. The Details panel holds the coordinator tools, including Generate Reports and Export to Excel.

Export progress to Excel

On the CE tab, select Export to Excel in the Details panel. The spreadsheet has three worksheets:

  • Summary: student details, advisors, learning outcomes, reflections and evidence, and interviews.
  • Extended Projects: projects and the engagements linked to them.
  • Experiences by Student: each engagement with supervisors, dates and status.

Generate reports for the year group

  1. On the CE tab, select Generate Reports in the Details panel.

  2. Under General, set the Start Date and End Date for the reporting period, the Term, Report Name, and the coordinator's name and title. Choose whether to Show CE Advisor and Notify Parents via e-mail.

  3. Under Engagements, choose what to show alongside each engagement, such as type, learning outcomes, reflections and evidence, supervisor review comments, status, meeting logs and progress descriptors. You can also customise the description and footer text.

  4. Add a Programme description and Learning Outcomes description, choose whether to include the learning outcomes section, and pick the File Name Format.

  5. Select Save Changes to keep the settings as a template, or Generate Report to create the PDFs.

Before you generate
  • Only engagements, interview notes and supervisor review comments within the reporting period are included.
  • Archived engagements are left out.
  • Generating reports for a whole year group can take up to 30 minutes. You will get an email when they are ready.

Generate a report for one student

Open the student's worksheet from the roster. In the Details panel, under Advanced Options, select Generate Reports. The options are the same as for the year group.

Find generated reports

Each student's reports are saved on the Documents tab of their worksheet, where you can open, download or annotate them. Students and parents can see them on the worksheet, and in the student's portfolio files.

To manage report sets for the whole year group, go to Generate Reports and select the Existing Reports tab. From here you can download a set or delete it. Deleting a set removes the bulk package and every student PDF in it.

Set up progress descriptors

On the Progress Descriptors tab, add, edit or delete the descriptors used in reports, for example "Very good progress" with a short explanation. Tick Progress Descriptors in the report settings to include them.
