Organise student work for upload to eCoursework

Learn how to organise portfolio files for IB eCoursework, tag them against upload requirements, and drag them into IB eCoursework for final submission.

ManageBac+ helps schools prepare and organise student work before it is uploaded to IB eCoursework.

Users can tag files from the student Portfolio Timeline, review upload requirements by subject, and then drag the files directly into IB eCoursework when they are ready for submission.

Overview

Users can use the IBeC button on any file in the student Portfolio Timeline to tag that file for eCoursework submission. Administrators and advisors can also filter Timeline content using the IBeC checkmark filter or access the teacher only eCoursework tab.

When you click the IBeC button on a file, a menu appears where you can tag the file for a specific Subject Group and Subject, and review the IB eCoursework requirements for the selected subject.

Select the subject and upload requirement for each file.

Select which requirement the file fulfils. A green check mark indicates that the requirement has been met. Click Save Changes to confirm the file selection.

The eCoursework folder lists all files tagged with IBeC by subject group. Files are then shown as either matching the Upload Requirements or Uncategorized.

You can also generate supported IB forms from this folder using the Generate IB Forms button.

Additional files can be added either through Choose Existing Submission from Tasks and Deadlines in Classes and Year Groups or through Add Files to upload new files directly to the student Portfolio.

The eCoursework components list also checks for file type compliance. For example, where an audio file is required for submission, images cannot be tagged as the upload requirement.

The list of subjects in the eCoursework components list is driven by the subjects the student has selected in their Plan Worksheet. See Completing Plan Worksheets & Sending Email Reminders to Students for further details.

Drag and drop student work from ManageBac+ into IB eCoursework

Student work uploaded into ManageBac+ Portfolios can be dragged and dropped into IB eCoursework. This process can be completed by the IB Coordinator, Teacher or Student.

  1. Open two browser windows side by side, one for IB eCoursework and one for ManageBac+.
  2. See the steps for accessing IB eCoursework from ManageBac+ or navigate directly to https://upload.ibis.ibo.org/.
  3. Navigate to the relevant IB eCoursework pages. See IB guidance on resources.ibo.org.
  4. Drag files from the student Portfolio, or from anywhere on ManageBac+, into the File Storage area in IB eCoursework.

Note: Files can also be dragged and dropped from anywhere in your ManageBac+ account or directly from your computer if they are not already on ManageBac+.

Files may also be dragged directly from your computer desktop or Google Drive.

Organise files in IB eCoursework

In IB eCoursework, you can select the student and drag files from the File Storage area into the appropriate subject for submission.

  1. Select the student in IB eCoursework.
  2. Drag files from File Storage into the relevant subject or component section.
  3. As files are dragged into their respective sections, track both candidate and overall submission progress.

Frequently Asked Questions

Where can schools find the list of eCoursework files to submit?

If your school uses ManageBac+ for classes, official IA forms can be exported from the Internal Assessments pages in IB DP Classes. If your school uses ManageBac+ for DP Core, the EE and TOK PPF forms can be exported from Year Groups. See Exporting IB forms from ManageBac+ for further guidance.

When are the deadlines for submission or upload of materials to the IB?

Please refer to the latest IB guidance regarding submission dates for the relevant session. For concerns about any specific subject coursework completion or upload, contact the IB directly at support@ibo.org.

How do I apply for an extension to deadlines set by the IB?

For questions about extensions, exceptions, or IB requirements relating to formatting, files, or forms, please contact the IB directly.

I noticed our IB School Code is incorrect on ManageBac+. How can I update it?

If your school code is incorrect on ManageBac+, please contact support@managebac.com. ManageBac+ eCoursework integration will not work correctly if the school code is incorrect.

Where can I update Candidate Session Numbers and IBIS Personal Codes?

You can update Candidate Session Numbers and IBIS Personal Codes for individual students from their profiles. You can also bulk update them via Year Group > Plans > Manage IBIS Personal Codes > Bulk Import. See Updating IBIS Personal Codes for more information.

Is it necessary to have the IBIS Personal Code and Candidate Session Numbers in ManageBac+ before uploading to IB eCoursework?

It is strongly recommended to add students’ IBIS Personal Codes and Candidate Session Numbers to their profiles because they will automatically populate into IB forms generated in ManageBac+.

If you registered your students directly from ManageBac+, Candidate Session Numbers and IBIS Personal Codes are automatically updated on ManageBac+ by 30 January for May session schools and by 30 July for November session schools.

Student PINs are not updated automatically and must be added manually from IBIS.

How can I log in to eCoursework?

Go to https://upload.ibis.ibo.org/ and choose to enter as a School or as a Candidate. If you need help logging in, contact the IB via support@ibo.org.

Is my ManageBac+ password the same as my IB eCoursework password?

No. Each user has different login credentials for IB eCoursework and ManageBac+. If you need help logging in, contact the IB via support@ibo.org.

DP students should go to https://candidates.ibo.org and enter their Personal Code and PIN.

Is it required to submit via ManageBac+, or can we submit directly to IB eCoursework?

ManageBac+ portfolio tools are available to IBCP and IBDP schools to support eCoursework submission, but it is not required to use ManageBac+. Schools may still submit directly from Google Drive or from a local desktop.

If I already have my students’ files on my computer, what is the advantage of uploading them to ManageBac+ first?

ManageBac+ can be used to organise materials, pre fill IB forms automatically, and support a two step approval process. Each school can decide on the combination of ManageBac+, Google, or local drives that works best for them.

Another benefit of storing the files in ManageBac+ is that all information is centralised in a shared space for historical reference. You will also be able to view completion statuses from eCoursework to track each student in the cohort.

How do I train teachers and students to use ManageBac+ for IB eCoursework upload?

Does ManageBac+ currently support MYP ePortfolio submissions?

At present, ManageBac+ supports the submission of DP and CP content to IB eCoursework.

Does ManageBac+ support IAs?

Yes. ManageBac+ supports IAs and Orals for all subject groups. Each IB DP Class provides Internal Assessment spaces either through a dedicated IA page or separate component pages within the IA tab. IA related IB forms can be generated from the student page for each IA component.

Are IAs and recordings on the ManageBac+ Portfolio Timeline visible to students?

No. IAs and Oral recordings are stored in the student portfolio but are visible only to teachers and administrators. Teachers and administrators can further organise submissions in the teacher only eCoursework tab within the Student Portfolio.

We have not finished recording Orals. How can we do this remotely via ManageBac+?

One option is to host a Zoom or Skype session with the student. Then, from the teacher side, open the ManageBac+ class under the Orals tab. Pressing record on the Orals tab allows you to record in this remote environment.

What should I do if my coursework is handwritten and offline?

You can scan handwritten coursework for eCoursework submission using the ManageBac+ mobile app with direct upload into ManageBac+ Portfolios. Scans can be refined through zoom, rotation, and reordering, with automatic conversion and compression into PDF.

Most subjects now require a teacher comment sheet to be uploaded with the IA. Is this built into ManageBac+?

Yes. Teacher comment and assessment documents can be generated from the student page for each IA component in all DP Classes with IA pages.

How safe is our data on ManageBac+? What privacy policies do you follow?

ManageBac+ is committed to ensuring the safety and privacy of your data. It is ISO 27001 certified, and you can read more about its security compliance policies on managebac.com/secure.

IBIS recommends Firefox. What about ManageBac+ and other browsers?

Google Chrome is recommended for the best experience, but Safari, Internet Explorer, and Firefox, or the most recent versions of each browser, all work on Macs and PCs. Please also make sure you have a stable internet connection and that JavaScript is enabled in your browser.
