Uploading External Report Cards

Administrators can upload external PDF report cards directly into ManageBac+ through Report History. This helps schools consolidate student records in one place and reduces the need for support intervention during reporting periods.

ManageBac+ allows administrators to add non ManageBac generated reports to student profiles by uploading PDF files through the reporting area. This provides a centralised way to store external report cards alongside other student records.

Once uploaded, these reports are visible in the platform with an External label. They can be previewed, downloaded, and managed individually, while remaining separate from transcript data and web view report card workflows.

Overview

External report uploads are designed for schools that need to add PDF report cards created outside ManageBac+. These reports are stored in student profiles and across the reporting area with clear labelling to distinguish them from ManageBac+ generated reports.

Uploaded external reports are available to students and parents unless a future release date is set. They do not contribute to transcripts and cannot be viewed in the same web view format used for reports generated from multi curricular report card templates.

Step by Step Navigation

Create the external report card entry

Navigate to Insights > Reporting > Report History and click the three dots button to select Upload External Reports.

  1. Select the Programme.
  2. Select the Academic Term.
  3. Select the Grade Levels to include.
  4. Enter the Report Title.
  5. Set the Reporting Date.
  6. Click Save Changes & Upload Reports to create the parent report card entry.

If no future release date is set, the current date will be used as the report card release date.

Upload student PDF reports

After saving, you will be redirected to the student roster view where you can upload one PDF per student.

  1. Locate the relevant student in the roster.
  2. Upload the student’s PDF report file.
  3. Repeat as needed for additional students in the selected cohort.

Uploaded reports can then be managed with Preview, Download, and Delete options.

Warnings & Important Notes

The Report Title determines both the parent report card title and the title shown to students, parents, and teachers in the student profile. The original file name remains visible when the uploaded file is previewed or downloaded.

For clarity, it is recommended that uploaded files use meaningful names, for example:

[Report Title]-[Full Student Name/ID].pdf
