Before you generate reports: lock gradebooks and check term grades

A short checklist so report cards go out right first time

Report cards pull grades and comments straight from class gradebooks. These checks help you catch missing grades and late changes before you generate and publish reports.

Steps

  1. Remind teachers to finish term gradesTeachers enter term grades and comments in their class Gradebook > Term Grades.
  2. Lock gradebooksGo to Settings > Academic Terms, select your programme, tick Restrict teachers from making any changes to term grades and select Save Changes. You can also reach this from Reporting > Proofing & Review.
  3. Proof grades by studentGo to Reporting > Proofing & Review, choose the programme and select By Student. Pick the homeroom advisor, term and student to review every class at once.
  4. Proof grades by subjectSelect By Subject to compare grades and comments across a whole class.
  5. Preview with real student dataIn the report template builder, select the Preview icon, choose a student and a term, and check the layout.
  6. Generate and publishConfirm the programme, term, year levels and template before you generate.
Please note that administrators can still access and edit term gradebooks while they are locked, to ensure

Administrators can still edit grades while gradebooks are locked, so late corrections can be made during proofing. Changes made in Proofing & Review also update the class gradebook.

A teacher says they cannot edit term grades.

Gradebooks are probably locked for that programme and term. Unlock them in Settings > Academic Terms, or make the change yourself as an administrator.

When a report set is generated, Excel files of class term gradebooks are saved under Reports > Reports History.
