Reviewing EE Progress
For EE Coordinators via Year Group > Extended Essay.
As a EE Coordinator, you can review the status of all students via Year Groups > Select a Year Group > Extended Essay. Here you will find the EE roster.
The default Proposals view displays a list of the students assigned by the supervisor with their subject, research question and topic, and status (Needs Approval, Approved, and Complete). A New Changes label will appear for when a student has submitted their topic, posted a message or uploaded a new document. The indicator will remain until you review the student.
You can also sort by Deadline or Alphabetically, as well as a summary of Assessment and Reflection progress. To view progress against a specific deadline, you can switch to the Deadlines option in the dropdown menu. You can further focus on a specific deadline via the Deadline dropdown.
This will allow you to see where each of your students stand relative to the global deadlines that have been set (e.g. submitting an outline, meeting with Advisor, etc.). A green checkmark indicator will appear when students have completed a Deadline and all related To-Dos.
For EE Supervisors via Reviews & Progress > Projects > Extended Essay tile
Teachers and Advisors can access EE for students assigned to them directly via the Projects > Extended Essay tiles of the Reviews and Progress section.
Your students are organized by Year Group. Select the appropriate Year Group from the drop-down menu under Extended Essay to expand the Project roster for your assigned students.
Clicking the student name will take you directly to the student's EE Worksheet.
Exporting EE Checklist to Excel
Via Year Group > Extended Essay > Export to Excel
By clicking Export to Excel, you can obtain EE-related information in an Excel worksheet, including the:
- Student ID
- Progress
- Status
- Last Name
- First Name
- EE Supervisor
- Research Question
- Topic
- Subject
- Category
- Notes
- First, Interim & Final Reflections and dates
- Hours Spent
The exported Excel file will look similar to the sample below:
Managing EE Assessment
Via Extended Essay > Select the student > Assessment
In the Extended Essay tab, choose the student in question. Click the Assessment tab. On this page, you can find the EE Assessment criteria and descriptions. On the right-hand side, you can quickly navigate between students, and see a summary of the EE grades assessed.
Marking the EE Assessment Criteria
You can find marking forms for the selected student by scrolling down the page, along with pre-set EE IB criteria to mark them on. Choose a value for each criterion. The total number of points earned will be calculated and displayed at the bottom of the page, where you can leave a comment.
Your updates will save automatically without any required action.
Sharing EE Assessment with Students
By default, these assessment marks are hidden from students. They can be shared with students by generating the PDF summary, and adding it to the EE Documents section on the student worksheet for students to browse or download.
Generating an EE Assessment Summary
After you finish marking the student, you can click the Export to PDF button to automatically generate a summary of the student's criteria results and comments.
Note: This is not an official IB Form.
The EE Report will include a summary of the student's EE proposal, the criteria assessment and EE Supervisor comment.
Collecting EE Final Copies
Via the Extended Essay or Calendar Tab
Via Year Group > Extended Essay, click on the Add Deadline button.
When an administrator creates an EE deadline, they can check Enable Dropbox to allow students to submit final copies through ManageBac.
1. Name - Name of the EE Deadline
2. Due Date - Deadline date and time of the EE submission. Submissions made after this due date and time will be labelled as "Late".
3. Link To - Select Extended Essay so that it is linked to Student's EE Worksheet
4. Details- Add details to elaborate more about the deadline.
5. Enable Dropbox - Enabling this will allow students to upload their documents under this deadline.
6. Enable Turnitin - Enabling this will generate a Turnitin Similarity Index for the uploaded documents.
Once students have uploaded their EEs, you will see their submitted files(s) below. You can download all their submissions by clicking on Prepare all files as ZIP.
To have the Deadline appear on the student EE worksheets, be sure to click Add To-Do to have a To-do checklist appear after initially adding the Deadline. For more information on creating EE Deadline and To-dos, find our guide here.
As a Coordinator, you’ll be able to track the overall status of EE submissions by clicking on the Deadline.
You can also use the Filter on the right-hand side to display only the Extended Essay Deadlines on the Calendar tab of the relevant IB Group.
EE Planning & Progress
Completing the Planning & Progress Form
To access the Planning and Progress tab, navigate to a student's EE Worksheet and click on the Planning and Progress Form.
You can also update the students progress status on the right-hand side.
Note that the Reflection text boxes will lock for students 5 minutes after saving. Admins or Supervisors can unlock the text box for students by unchecking the Lock checkbox under the reflection and clicking on Save Changes.
Enabling Character & Word Counter
Admins can guide student interactions by enabling a character and word counter, which ensures their entries fit within the official IB forms. Navigate to Settings > IB Diploma > Project-based Learning > and select Extended Essay.
Under the Planning and Progress Form on the Framework tab, you can set a maximum word count for student reflections and teacher comments.
The words permitted in the field will display for both Students & Teachers.
Note: The counter is configured for English characters and words specifically.

As the PDF form provides limited space, it is still advised for the EE or DP coordinator to review before final IB submission.
Configuring Report Card Options
Via Settings > IB Diploma > Project-based Learning > Extended Essay > Framework select to Showcase on Reports any relevant proposal items that you would like to have represented on Report Cards, if using that module in ManageBac. Do this while adding a new field, or editing under the 3 dot icon. Select the tick box that indicates which items should be displayed on Reports Cards. Be sure to Save Changes at the bottom of the Framework page, when done.
Tracking Reflections
Via the Extended Essay Roster, select Planning and Progress Form from the dropdown. Here you can view all students progress on submitting their first, interim and final reflection, as well as if the EE Supervisor has entered their reflection. A green checkmark will appear for those that are entered.
Generating the EE RPPF
Once completed, click Export RPPF to generate the Planning and Progress Form. This generates a writable PDF form, which can be further edited after downloading to your desktop. When you are ready, you can submit the final PDF through ManageBac's integration with the IB eCoursework submission platform.
