This tutorial will explain the most common issues that occur when registering for Diploma exams on IBIS via ManageBac and how to triage and resolve them.
Candidate exists in another school
Candidate exists in another school and cannot be registered again on ManageBac. Please register via IBIS.
This error occurs if the student had transferred from another school and if they had been registered as an MYP candidate or for Anticipated exams in their first year of the Diploma Programme.
As the IB Coordinator, you will need to contact the prior school and request the student’s IBIS personal code (e.g. dmg891) and then register directly via IBIS.
Candidate already exists in IBIS
Candidate already exists in IBIS. Please fill out the Candidate’s Personal Code from IBIS and try again.
This means that the student has been previously registered for an Anticipated Diploma exam or for MYP moderation through your school.
You will want to check on IBIS and ensure that the student’s IBIS personal code is updated on the Plans roster by navigating to your IBDP Year Group > Plans > Manage IBIS Personal Codes.
This will ensure that the student is identified correctly and you can then re-submit the exam subject registrations via the Register via IBIS page by clicking Register Now to the right of the student’s name.
Candidate is already registered in IBIS
Candidate is already registered in IBIS and can not be registered again from ManageBac.
This means that the student has already been registered for the exam period you are trying to register for. This error occurs when students are registered manually on IBIS before being registered on ManageBac. If this is the case, you will want to make all updates for that student on IBIS directly.
Failed registration attempt
Beginning with the registration for May 2022, the IBO will no longer permit exam registrations for schools with certain outstanding payments. The registrations via ManageBac in these cases will fail and the message shown below will be listed for all students.
The ability to register candidates for this session has been withdrawn as your school has outstanding debts over 90 days old. Please contact Finance via myaccount@ibo.org for further discussion.
Value is not facet-valid
Value '' is not facet-valid with respect to pattern '[a-z]{3}[0-9]{3}' for type '#AnonType_candidateSession'.
This error occurs when students were previously registered for MYP certified grades or Personal Project. To resolve, please enter the student’s IBIS personal code and try registering again. If that does not resolve the issue, please register via IBIS directly.
Content of element 'subjects' is not complete
Content of element 'subjects' is not complete. One of '{subject_details}' is expected.
This error indicates that at least one of the selected exam subjects was added as "Additional Subject" and a blank space was left in the exam subject for registration. Subjects listed as "Additional Subject" are not included in the credits for the full Diploma.
Please make sure that 6 subjects are listed or DP1 exam scores are applied in DP2 subjects and register the students again.

- S09 Groups 1 to 6: same subjects at HL and SL
- S10 Groups 1 and 2: same subjects for languages A1, A2, B or ab initio
- S11 Group 5: two group 5 subjects (exception: mathematics HL and further mathematics SL)
- S12 SBS/pilot subjects: prohibitions with groups 1–6 subjects
- S13 Group 4: environmental systems SL with biology HL or biology SL
- S14 Pilot subject or a school-based syllabus subject as a six-month retake
- S15 Transdisciplinary subject registered as a six-month retake
- S16 Same subject for language A1 and transdisciplinary text and performance
- S17 Same subject for language B, A2 or ab initio and transdisciplinary text and performance
- S18 Group 6: theatre arts HL or SL with text and performance SL
- S19 Group 6: more than one school-based syllabus subject (diploma candidates only)
- S20 Two pilot subjects
- S21 Pilot subject and a school-based syllabus subject
Diploma and retake
- S22 Candidate registered for more than three sessions
- S23 More than six subjects
- S24 Fewer than six subjects
- S25 Total of six subjects, but two or less HL subjects
- S26 Total of six subjects, but with five or six HL subjects
- S27 No extended essay subject
- S28 No group 1 or authorized equivalent school-based syllabus/pilot subject
- S29 No group 2, second group 1 or authorized equivalent school-based syllabus/pilot subject
- S30 No group 3 or authorized equivalent school-based syllabus/pilot subject
