The below article refers to the new TOK 2022 requirements. For guidance on Legacy TOK on ManageBac (including the TOK Presentation), see here.
Reviewing TOK Progress
For TOK Coordinators via Year Groups > Theory of Knowledge
As a TOK Coordinator, you can review the status of all students via Year Groups > Select a Year Group > TOK Exhibition/ TOK Essay. Here you will find the TOK rosters.
The default Prompt or Prescribed Title view displays a list of the students assigned by Advisor with their Prompt and Title, Word Count and Status. You can also sort by Deadlines or Alphabetically.
To view progress against a specific deadline, you can switch to the Deadlines option in the dropdown menu. This will allow you to see where each of your students stand relative to the global deadlines that have been set (e.g. printing a hard copy, submitting an outline or meeting with Advisor, etc.).
A checkmark indicator will appear when students have completed a Deadline and all related To-Dos.
For TOK Advisors via Reviews & Progress > Projects > Select All Students or My Students
TOK Advisors can access TOK Exhibition and Essay for students assigned to them by clicking on "My Students" on the drop-down menu. Select the TOK Exhibition or TOK Essay and click the Year Group title to expand the Project roster for the assigned students.
Clicking the student name will take you directly to the student's TOK Workspace.
Exporting TOK Checklist to Excel
Via Year Group > TOK Exhibition or TOK Essay > Export to Excel
By clicking Export to Excel, you can obtain TOK-related information in an Excel worksheet, including the:
- Student ID

Managing the TOK Exhibition
Via TOK Exhibition > Select student > Workspace
In the TOK Exhibition, select the student's name. The Exhibition Workspace allows students and TOK advisors to interact throughout the Exhibition process and track any TOK Exhibition progress. Select the student's TOK Exhibition status and progress on the right-hand side.
The Workspace consists of 4 sections:
- Prompt (can be further edited by the advisor via Edit Prompt button once Exhibition Status is set to Approved)
- Deadlines & To-Dos (To-dos can be added directly to Workspace or linked to TOK Exhibition Deadlines)
- Documents (can be added directly by student or advisor or will link from TOK Exhibition Deadlines) with annotation tools for PDF and other static document formats
- Notes (can be marked as Interview notes)
Marking the TOK Exhibition
Select the Rubric to find available Rubrics for marking the student Exhibition by clicking on the score box directly and the comment box. The right navigation panel shows available Rubrics & Options as expandable menus for additional reference.
Rubrics can be customised via the Settings > IB Diploma > Project-based Learning > TOK Exhibition > Rubric.
Via Settings > IB Diploma > Project-based Learning > TOK Exhibition > Framework select to Showcase on Reports any relevant prompts that you would like to have represented on Report Cards, if using that module in ManageBac. Do this while adding a new field, or editing under the 3 dot icon. Select the tick box that indicates which items should be displayed on Reports Cards.
Collecting TOK Essay Final Copies
Via the TOK Essay or Calendar of a Year Group
Via Year Group > TOK Essay, click on the Add Deadline button. (Or via Year Group > Calendar > Add Deadline)
When an administrator creates a TOK Essay deadline, they can check Enable Dropbox to allow students to submit final copies through ManageBac.
As a Coordinator, you’ll be able to track the overall status of TOK Essay submissions by clicking on the deadline. You will be able to lock all submissions and bulk download submissions as a ZIP file from the deadline.
TOK Planning & Progress
Completing the Planning & Progress Form
To access the Planning and Progress Form, navigate to a student's TOK Essay Worksheet and click on the Planning and Progress Form.
Note that the Interactions text boxes will lock for students 5 minutes after saving. Admins or Supervisors can unlock the text box for students by enabling/disabling Lock > Save Changes.
Generating the TOK PPF
Once completed, click Export Tok Essay PPF. This generates a writable PDF form, which can be further edited after downloading to your desktop. When you are ready, you can submit the final PDF through ManageBac's integration with the IB eCoursework submission platform.
Tracking Interactions
Via the TOK Essay Roster, select Planning and Progress Form from the dropdown.
Here you can view all students progress on submitting their first, second and third interaction, as well as if the TOK advisor has entered their comment. A green checkmark will appear for those that are entered.
