Reviewing TOK Progress
For TOK Coordinators via Year Groups > Theory of Knowledge tabs
As a TOK Coordinator, you can review the status of all students via Year Groups > Select a Year Group > TOK Exhibition/ TOK Essay. Here you will find the TOK rosters.
The default Prompt or Prescribed Title view displays a list of the students assigned by Advisor with their Prompt and Title, Word Count and Status. You can also sort by Deadline, Alphabetically or Planning and Progress Form.
To view progress against a specific deadline, you can switch to the Deadlines option in the dropdown menu. This will allow you to see where each of your students stand relative to the global deadlines that have been set (e.g. submitting an outline, meeting with Advisor, etc.).
A check mark indicator will appear when students have completed a Deadline and all related To Dos.
For TOK Teachers via Reviews & Progress > Projects, EE & TOK tab
Teachers and Advisors can access TOK Exhibition and Essays for students assigned to them directly via the Projects, EE & TOK tab of the Reviews and Progress section.
Select the appropriate Theory of Knowledge tab at the top of the page and click the Year Group title to expand the Project roster for the assigned students.
Clicking the student name will take you directly to the student's TOK Worksheet. Export to PDF a summary of students statuses.
Exporting TOK Checklist to Excel
Via Year Groups > TOK tabs > Export to Excel
By clicking Export to Excel, you can obtain TOK-related information in an Excel worksheet, including the:
- Student ID
- Last Name
- First Name
- TOK Teacher
- Prescribed Title
- Exhibition Prompt
- Approximate Word Counts
- Interactions reflections
The exported Excel file will look similar to the sample below:
Managing the TOK Exhibition
Via TOK Exhibition > Select student > Workspace
In the TOK Exhibition tab, choose the student in question. The Exhibition Workspace allows students and TOK teachers to interact throughout the Exhibition process and track any TOK Exhibition progress.
The Workspace consist of 4 sections:
- Prompt (can be further edited by teacher via Edit Prompt button once Exhibition Status is set to Approved)
- ToDos (can be added directly to Workspace or linked to TOK Exhibition Deadlines)
- Documents (can be added directly by student or teacher or will link from TOK Exhibition Deadlines) with annotation tools for PDF and other static document formats
- Notes (can be marked as Private to limit view to teachers and admin users only) for continuous communication between student and TOK teacher
Marking the TOK Exhibition
Select the Rubric tab to find available Rubrics for marking the student Exhibition via the mark dropdown menu and comment box. The right navigation panel shows available Rubrics & Options as expandable menus for additional reference.
Rubrics can be customised via the Settings > IB Diploma > Project Based Learning > TOK Exhibition > Rubrics page.
Collecting TOK Essay Final Copies
Via the TOK Essay or Calendar Tab of a Year Group
Via either Year Group > TOK Essay or Calendar tab, click on the Add a New Deadline button.
When an administrator creates an TOK Essay deadline, they can check Enable Dropbox to allow students to submit final copies through ManageBac.
As a Coordinator, you’ll be able to track the overall status of TOK Essay submissions by clicking on the deadline. You will be able to lock and bulk download submissions on the deadline.
Tag as eCoursework
On the deadline itself, ticking Tag as eCoursework on the right-hand side will mean any submission any student makes to the deadline, will be automatically flagged as their Theory of Knowledge eCoursework submission.
Via the pop-up, confirm what component you are collecting and Save Changes.
Specific student submissions will now be labelled as such under their Portfolio > eCoursework (Staff Only) folder. Here you can access the original submission, the annotated file or annotated anonymised file.
TOK Planning & Progress
Completing the Planning & Progress Form
To access the Planning and Progress tab, navigate to a student's TOK Essay Worksheet and click on the Planning and Progress Form.
Note that the Interactions text boxes will lock for students 5 minutes after saving. Admins or Supervisors can unlock the text box for students by ticking/unticking Lock reflection > Save Changes.
Generating the TOK PPF (Coming Soon)
Once completed, click Export to PPF to generate the Planning and Progress Form. This generates a writable PDF form, which can be further edited after downloading to your desktop. When you are ready, you can submit the final PDF through ManageBac's integration with the IB eCoursework submission platform.
Enabling Character & Word Counter
Admins can guide student interactions by enabling a character and word counter, which ensures their entries fit within the official IB forms. Navigate to Overview > Edit Year Group Settings > tick Enable Character & Word Counter for Progress Forms > Save Changes.
The characters or words permitted in the field will display for both Students & Teachers. Note: The counter is configured for English characters and words specifically.
As the PDF form provides limited space, it is still advised for the TOK or DP coordinator to review before final IB submission.
Via the TOK Essay Roster, select Planning and Progress Form from the dropdown.
Here you can view all students progress on submitting their first, second and third interaction, as well as if the TOK Teacher has entered their teacher comment. A green check mark will appear for those that are entered.
