Annotating student work in the split-screen gradebook

Quick answer

In the task, select the View File (pencil) icon next to a student. Their file opens in the split-screen gradebook, where you can annotate it, add comments and grade with the Rubric View. This works for .pdf, .doc and .docx files.

Annotating student work in the split-screen gradebook

For teachers marking work submitted through Dropbox: annotate, comment, grade and download.

Open a submission

  1. Open the task. Students submit their files there when Dropbox is turned on for the task.

  2. Select the View File (pencil) icon next to a student. The file opens in the split-screen gradebook.

  3. If the student uploaded more than one file, select the file titles in the Task Details panel to switch between them. To move to another student, select their name in the list on the left.

What do the icons next to each submission mean?
  • Pencil turns orange: at least one of several files is annotated.
  • Pencil turns green: all files are annotated.
  • Clipboard: shows who annotated the file.
  • i: shows the exact time the file was uploaded.
  • Lock: locks or unlocks that student's submission. Use Lock All Submissions for the whole class or year group. Locked students cannot upload or delete files.

If the work includes graphs or tables, ask students to upload a PDF for the best results in the annotation tool.

Annotate and comment

Choose an annotation type from the toolbar:

Annotation What it does

Text box Type notes on the document
Area highlights Comment on a highlighted area
Ink Draw on the document
Text highlights Highlight and unhighlight text
Stamps and images Stamp the document or add an image
Signature Add your signature
Shapes Draw lines and shapes

  1. To add a threaded comment to an annotation, type in the comment box and select Comment.

  2. To delete an annotation, select it, then select the bin icon at the top of the page. Highlights and other non-comment annotations can only be removed this way.

  3. To move a text box, area or ink annotation, hover over it until you see the move cursor, then drag it.

On a narrow screen, turn off the Pages panel and Task Details for a moment to see the comments sidebar.

Several people can annotate the same document at once. Everyone annotating sees all annotations and comments.

Grade while you mark

Use the Rubric View to see the assessment criteria descriptors and enter grades. Grades sync to the task gradebook.

Download annotated work

  1. Select Download at the top of the page, then Download Annotated. You get a PDF with all annotations.

Anonymised copy: open the student's Portfolio, find the task or upload, select Annotated File, then Generate PDF.

What students see

Students open Tasks > task name > View Teacher Feedback. They can reply to your annotations and add their own.

Students cannot change grades, but they can see grades and assessment comments in their task view. See Tracking your Academic Progress.
