A DP or CAS Coordinator should review the following settings to configure your Creativity, Activity, Service worksheets on ManageBac to meet your schools needs.
Creating CAS Questions
ManageBac allows you to add custom questions that will appear to students every time they create an experience. This provides an opportunity for more guided reflection.
You can create new questions via IB DP Year Group > Overview > Edit Year Group Settings. Please note the Year Group label may be customized by your school. Depending on the width of your screen, these details may appear at the bottom of the page.
In the CAS Questions section, click Add Question button to create a question. The navigation arrows will allow you to click and drag the questions to your preferred order. Edit questions by typing into the text box. Questions can be deleted via the Delete tick box. Click Save Changes at the bottom once done.
Please note that CAS Questions are specific to their year level, so each year group may have their own (or no) CAS Questions.
Configuring CAS Learning Outcomes
ManageBac includes the default Learning Outcomes provided by the IBO when new DP Year Groups are created. Alternatively schools can edit these or create their own CAS Learning Outcomes.
Learning outcomes can be configured and edited via the Edit Year Group Settings page of the year group.
Please note: To reset Learning Outcomes, delete all outcomes and use the "Add Default Learning Outcomes" button. This will then require students to edit their experiences and reflections as well. Moving students between year groups will hide custom learning outcomes in default learning outcomes year groups and vice versa. Moving the student back to their original year group will return the linked outcomes.
Allowing Students to Track Hours
By default, ManageBac does not enable hours tracking for the CAS programme, in line with current IB guidelines. However, schools can choose to enable and customise this option by year group.
Via Year Group Overview > Edit Group Settings, tick the Track activity hours for this group box under Activity Settings. You can also choose to show an Hours Chart on student worksheets, and customise how many hours are required in your CAS programme. Click Save Changes at the bottom of the page once done.
Students can enter an overall Aims and Goals on their CAS Worksheet by enabling Show CAS Aims and Goals. With Optional Question, students can answer an additional question when adding a new Experience.
Setting Automated E-mail Reminders
You can set automated e-mail reminders from the CAS tab of your IB DP group. Automated e-mail reminders will e-mail students who have not logged in or updated their CAS worksheets in the previous 14 days.
You can enable and disable the reminders from this page as well as customize the e-mail subject & message by clicking the blue Edit pencil. Click Add Reminder in the sidebar to add additional reminder emails.
Note: Be sure to disable reminders when school is not in session to avoid spamming student email inboxes.
Customising Supervisor Reviews
Via Settings > School Settings > CAS & Service Action, an admin can edit the text they want their students and experience supervisors to see.
At the bottom of the page, you can select whether or not you want experiences automatically marked as complete once a supervisor review is submitted. This means the experience will be locked, and students will no longer be able to work on it.
Click Save Changes once done.
Interview Note Permissions
via Settings > Security & Permissions
You can configure whether students can browse interview notes via Settings > Security & Permissions. Note, by ticking Students > Browse Interview Notes > Save Changes, this will make all interview notes past and present visible to students. If unselected, Students are able to view Notes but not those marked as Interviews.
Lock Approved Experiences
via Settings > Security & Permissions
You can configure to lock any approved CAS/SA Activity via Settings > Security & Permissions, Note, by ticking Lock Approved CAS/SA Activities > Save Changes, upon an activity being marked as approved, it will no longer be possible for the student to edit the name, description, and general details. The students can still add Reflections & Evidence.
If you wish to permit students to edit their experience on an ongoing basis, leave this unticked.
CAS Guidance and Handbook
Via Settings > IB Diploma > Guides
Via the CAS tab, you can upload relevant handbooks, as well as customize guidance for your students. Optionally choose to include an introductory video prepared by the ManageBac Support team.
Via the Handbooks tab, you can additionally upload programme generic handbooks (Diploma, Middle Years etc) as well as for Parents.
To upload your handbook, click Choose File under the relevant heading. Select the handbook from your computer and upload it. To replace a pre-existing handbook, click Update, or click the rubbish bin icon to Delete it. Once you have finished choosing your handbooks, click Save Changes at the bottom of the page.
Note: Supported file types include word or PDF documents.
Customising CAS Terminology
Via Settings > School Settings > Terminology
Enabling CAS Assessment
Via Settings > IB Diploma > Assessment
Via IB Diploma > Assessment > Assessment Models > Term, enable evaluation of CAS by ticking the checkbox. Under the Rubrics header, you can customize the default rubric values provided.
Once enabled, this will provide a Submit Term CAS Evaluation button under the CAS roster.
Advisors can select from the available rubric options, enter comments and export grades to excel.
