Generating academic transcripts

Quick answer

Go to Insights > Reporting > Transcripts, choose the programme, grade and term, and use Filter > Select Transcript Records to pick the report cards to include. Then select Bulk Generate Transcripts, or open one student to generate or edit theirs. Report cards must be generated first.

Generating academic transcripts

For admins who turn report card data into student transcripts, export GPA and add custom rubrics or school remarks.

Choose which report cards go on transcripts

A transcript only includes the report cards you select as transcript records.

  1. Go to Insights > Reporting > Transcripts.

  2. Choose the programme from the list, then the grade and academic term.

  3. Select Filter > Select Transcript Records and choose the report cards to include.

  4. Repeat for each academic term.

Transcript records only appear for terms where report cards have already been generated.

Change the transcript layout and GPA settings

  1. On the Transcripts page, select the 3 dots button, then Edit Settings.

  2. Set the transcript title, years order, optional fields and compact layout. You can also change the logo width and grade descriptor style, and rename academic programme titles.

  3. In the GPA section, set the GPA values and other transcript options.

Check the layout, GPA values and optional fields before you generate transcripts in bulk.

Generate and edit transcripts

  1. Once you have selected transcript records for each term, select Bulk Generate Transcripts to create transcripts for all students they apply to.

  2. To work on one student, select them in the roster or search for their name.

  3. To change their data, open the transcript and select the Edit icon.

  4. Add, delete or edit grades, then save.

Transcripts show final grades from report cards. Rubric grades only show if you set up a custom rubric.

Export student GPA

  1. On the Transcripts page, select the 3 dots button, then Export GPA.

  2. Download the Excel file. It contains student and class details and the term and cumulative GPA.

GPA is the sum of all GPA values per class divided by the total number of credits earned.

Show a custom rubric on transcripts

This only works for report cards generated with Multi-Curricula Report templates. It does not work with PDF report templates.

  1. Go to Settings > select the programme > Assessments > Assessment Models > Term Grades. Edit a rubric or add a new one.

  2. Tick Add rubric to Transcripts and save.

  3. Go to Insights > Reporting > Templates and select the programme and Multi-Curricula Report template.

  4. Add the rubric to the template's assessment component.

  5. Generate report cards with that template from Reporting > Generate Reports.

  6. Go back to Transcripts > 3 dots button > Edit Settings, tick Custom Rubric on the General tab and select Save Changes.

  7. Select the transcript records for those report cards and generate transcripts individually or in bulk.

Add school remarks

  1. Go to Transcripts > 3 dots button > Edit Settings, tick Free Text and select Save Changes. This applies to transcripts you generate from then on.

  2. Go to Transcripts > Filter > Select Transcript Records, choose the student and select the Edit icon.

  3. Type in the School Remarks box and save.

  4. Generate the transcript. The text shows in the School Remarks section.

Why are no transcript records showing for a term?

Report cards have not been generated for that term yet. Generate them first.
