Selecting Transcript Records
Via Reporting > Transcripts
Select which Transcript Reports to include on the Transcript, this is a three step process (see below)
1. First, select the programme from the dropdown menu for which you want to generate Transcripts.
2. Second, select the academic term you wish to include on the transcript.
3. Each time you select an academic term, a list of available transcript reports will appear on the right navigation panel. Select which reports you wish to include on the transcript for each academic term.
Note: Please note that you need to generate report cards for the academic term in order for it to appear as a transcript record.
Customising Transcript Settings & Template
To configure your transcript settings, navigate to Transcripts > Edit Settings.
Here you can configure your Transcript Title, Years Order, Optional Fields, and where you can enable Compact Transcript Layout (i.e. a 1 page transcript).
You have the ability to adjust Logo Width, change the style for Grade Descriptors (table/compact) and rename academic programme titles for students with Transcripts that contain data from multiple academic programmes and classes.
We have added the ability to include Custom Rubrics on the transcript by enabling Custom Rubric. This option will only work for report cards included in Transcripts that were generated with MCR templates.
Generating Transcripts
Once all reports have been selected for each academic term, bulk generate transcripts for all DP & MYP students by clicking Bulk Generate Transcripts. Previously generated transcripts are accessible via the Transcripts History button.
You can also view and generate transcripts for individual students by clicking their name in the roster or by searching the student's name in the search box.
Use the Edit icon to make further changes to Transcript data.
Editing transcripts, you can add, delete or edit existing grades.
Please note that the grades which appear on the transcript are the final grades from report cards, rubric grades are not shown on transcripts.
Export Student GPA
To export students' grade point averages (GPA) to Excel, navigate to Reporting > Transcripts > click Export GPA.
The Excel spreadsheet contains key student information, class information, as well as the term and cumulative GPA.
The GPA is calculated by the sum of all GPA values per class divided by the total number of credits earned.
The GPA values can be configured for your school via Reporting > Transcripts > Edit Settings > GPA.
Include Custom Rubric on Transcript
*Please note this feature is only available if MCR templates are used to generate Report Cards. This will not work for report cards that were generated with the PDF report templates.*
To include custom rubrics on transcripts, follow the steps below:
- Configure the rubric(s) via Settings > Select Programme > Assessments > Assessment Models > Term Grades > Edit an existing rubric or add a new Rubric > Enable the “Add rubric to Transcripts” and Save changes.
- Navigate to Insights > Reporting > Templates > Select Programme and MCR Template. Add the rubric that was included in Step 1 to the MCR template in the Assessment component.
- Select "Generate Draft with Zip” or “Generate Reports” from the Reporting > Generate Reports page using the MCR template.
- Navigate to Reporting > Transcripts > Edit Settings > under the General tab select “Custom Rubric” > Save Changes.
- Select the Transcript Records for the report cards generated with MCR Templates and Generate Transcripts, either individually or in bulk.
