How long will I have access to my CHQ site?
Schools will have access to their CHQ site until a date mutually agreed with CHQ and SchoolsBuddy and detailed on the Transition Agreement.
Will I be able to access historical data on CHQ after the migration?
Once the migration has been completed and the move to using SchoolsBuddy, schools will have access to CHQ to be able to download any data they require until a mutually agreed date.
How are multiple profiles managed?
Each user will need their own account with a separate login and password, e.g. staff account, parent account.
For Admins of multiple schools, we provide a switcher account on request.
Is SSO supported?
We currently offer SSO access to SchoolsBuddy via ManageBac, Google, Microsoft Office 365, AzureAD, Firefly, ADFS and ISAMS. We can support any SSO option with OpenID Connect. PowerSchool SSO is on our Development roadmap for the next academic year.
Can I manage different levels of access for different users?
Yes, Organisation Super Admins can set the permission levels for each user. You must contact the Support team if you wish to add or remove an Organisation Super Admin.
Can staff members take attendance using an App?
Yes, all staff members can take attendance using the SchoolsBuddy app.
What reporting is available?
We have a variety of reports available including:
- Attendance Dashboard

- Class/ Homeroom lists
- CCA Catalogue
- Fixture and ECA Student Count Analysis
- Parents Evening Appointment Lists
- Student Selections Overview

Is it possible to send messages (email/SMS) from SB?
SchoolsBuddy includes built in parent communications via email and mobile push notifications.
We do provide an integrated SMS service where required.
Does SB have a parent App?
Yes, we have a parent app available on Apple and Android devices.
What information will parents see when they log in?
What support is available for the school administrators of the system?
As migrated customers you will receive full training on SchoolsBuddy via our training team so please direct questions about your transition to: firstname.lastname@example.org
How will 2021-22 set up be managed where it is already set up on CHQ?
Can activities be uploaded by submitting a spreadsheet to the support team?
We cannot upload activities however the process is quick and easy and only needs to be done once. Activities can be copied for future use.
Is it possible to limit who can sign up to an activity (rules/custom groups/previous participant priority)?
Yes, you can set who the activity is available to, ensuring that only the relevant students are able to sign up.
We have prerequisites that can be set as an additional level of filtering. You can also set 'Unavailable to' which limits students signing up for popular activities if they have already done it.
You are also able to 'Pre-select' students for certain activities.
Is there an option to have a waiting list for activities?
If you are using a First Come First Serve sign up then we have a wait list option. For our Preference based selection we offer Post Allocation Join Requests which must be approved by a staff member.
Is there an equivalent Who is Where function?
Yes, staff members can search for a student and find out their activity and its location. We also have a 'What's next' feature so that staff have an overview of where students are heading by day or week as well.
Can I require payment upfront for an activity or other event?
Yes, however this depends on how the activity is set up. SchoolsBuddy can advise on the best set up dependent on your needs.
Parents Meeting (PTC)
Can Administrators book on behalf of parents?
Yes, Admin users can make a booking on behalf of a parent.
Does SchoolsBuddy provide remote meetings?
Yes, you can choose to create an 'Online' Parent Teacher Conference and embed the video conferencing link to the teacher's profile. This allows parents to click the link directly from the appointment, e.g. Zoom, Skype, Google Meet.
We do not directly integrate with a video conferencing platform.
How many people can join remote meetings?
As many as the video conferencing platform you are using allows.
Can SB support Student Led Conferences?
Yes, we can support Student Led Conferences by allowing multiple bookings per time slot. E.g. More than one parent can book the 2:00pm time slot (the school can set the limit), allowing the teacher to facilitate more than one appointment at a time.
Can I make daily changes to my passenger lists?
Yes, a Transport Admin can make daily changes to the passenger lists.
Can a parent request an ad-hoc change?
Yes, parents can make 'Change Requests', which the school can set a deadline to. All change requests must be approved by a transport admin member.
Is there an ePayments option?
Yes, we have a number of payment providers who we integrate with depending on where you are located.
Do parents have to pay their balance off in one transaction?
No, parents can select specific items to pay off and how much of the balance they wish to pay.
