In SchoolsBuddy there are student balances, parent wallet balances and parent voucher balances. The student account balance shows any outstanding charges that have not been marked as paid. The wallet balance contains any credit a parent has been refunded (or given) and the Voucher wallet shows any credit or debit amount for events that the parent will pay by voucher. Each of these balance screens has a link to view Transactions on the account.
The student account shows all debt. This figure is the sum of all outstanding charges for events that have been booked for this student, or charged to his account. Both Parents can login to SchoolsBuddy and pay off the debt on the student's account, or staff can use the Record Payments tab to mark the outstanding balance as paid.
The overall student fees outstanding is the total amount that all students owe.
The wallet accounts are used for storing credit. This could have been manually added by an Advanced Fee Admin user, or it may have been refunded from a cancelled event, ready to use for future bookings and charges. Credit is not automatically allocated to outstanding debts on the student's account. Parents can use the credit to make payments themselves, or staff can do this from the Record Payments tab.
The Voucher account here shows that the parent has a credit £20.00, which they will be able to use to pay towards activities or events that allow voucher payments. Voucher balances are credited by an Advanced Fee Admin user. For many UK schools, childcare vouchers are received after the booking that they are allocate to so the school can choose whether to allow voucher balances to go into debt.
The overall voucher account balance is the amount which needs to be received from parents in vouchers.
Leavers are indicated in all the balance screens with an icon in the leavers column. The balance screen can be filtered to show just the leavers' accounts. If a parent's credit or voucher balance is credited/charged to make the outstanding balance 0, the leaver's record will not show in the list once the page has been refreshed.
